Block Website (Free)
With our Block Website package, you and your fellow homeowners get:
Your block's own secure website accessible only by homeowners in the block
Easy to use communication via an electronic notice board
Structured decision and voting system, helping homeowners to make collective decisions
Electronic storage of uploaded documents, ensuring no loss of information
Central access point for contact details of fellow homeowners
Easy to use tools for entering information about the block
This package will be of most use to homeowners in blocks containing 2-3 flats, who require minimal financial administration but need to be able to communicate with one another, as well as a place to store essential information.
Self Serve (£25 per unit per year)
The Self Serve package gives you all of the online functions of the Block Website package, together with:
Easy online access to a register of contractors experienced in supporting self-managed blocks and dealing directly with homeowners
Online tools to help administer collection of service charges, payment of contractors and production of annual financials, with full visibility and reporting available to all homeowners
Online tools to review and define what services the block requires so that all homeowners know where their money goes
Templates to facilitate creation of all required documentation. All templates have been created in line with regulatory requirements
Help where you need it, when you need it on issues such as regulations, notices and undertaking works, either through our online Knowledge Base or through our Helpdesk, which you can call with questions on any topic.
This package will appeal to homeowners in blocks that require a moderate or medium level of financial administration, and where one person is competent and happy to use our online tools so as to undertake duties on behalf of the rest of the block. Assistance is available through our Helpdesk on the end of the phone, or through our online Knowledge Base.
Admin Assist (£85 per unit per year)
The Admin Assist package gives you all of the online functions of the Self Serve package, whilst we undertake the administrative functions on your behalf, saving you time and effort and ensuring that you don't violate regulatory requirements. Urban Owners will:
Undertake all aspects of day-to-day financial administration;
Assist homeowners in determining their annual budget
Generate service charge requests and collect monies from homeowners
Receive, and, after authorisation, pay invoices from contractors
Track and reconcile the bank account balances
Produce the electronic and physical files ready for accountant review
Deal with any enquiries from the accountants resultant from accounts production
Maintain physical files of all documentation and correspondence
Maintain an archive of key documentation
Full Admin (£125-£250 per unit per year)
Our Full Admin package provides a level of service equivalent to that offered by traditional managing agents, but with the distinction that homeowners are in control of management decisions, and are consulted before actions are taken. For example, you approve contractors before they are engaged, and approve invoices before they are paid.
With our Full Admin package, you get everything included in our Admin Assist package, whilst additionally we will:
Administer the selection, engagement and day to day direction of contractors to your block
Provide a qualified surveyor / inspector to undertake an initial Block Condition Survey Report and thereafter a Periodic Block Inspection Report on an annual or more regular basis. The reports are intended to provide homeowners with advice and guidance on actions they should be taking with respect to the maintenance of their block
Conduct an Annual General Meeting with members of the Residents' Management Company
Act as Company Secretary for the Residents' Management Company
Top-up services
We recognise that at times Admin Assist and Full Admin clients will have neither the time or inclination to participate in certain aspects of the management of their block. Accordingly, we offer a range of top-up services so that, should they prefer, clients can call upon Urban Owners for more extensive administration of their block.
Please note - for Full Admin clients, Company Secretary, Residents' Meeting Facilitation, Block Condition Survey Report and Periodic Block Inspection Report are included in your basic package.
Company Secretary (£100 per block per year)
Urban Owners will become the Company Secretary of your Residents' Management Company, with our offices being the registered office for all company correspondence. We will submit all documents to Companies House on your behalf and deal with any enquiries of this nature. Typical activities we undertake as a Company Secretary include submitting financial accounts, the annual return and changes to the company directors, and managing shares as ownership of units changes.
Residents Meeting Facilitation (£100 per meeting)
Typically this concerns the Annual General Meeting held by the Residents' Management Company. Urban Owners will undertake a pre-meeting review of the property, attend the AGM, facilitate discussion and voting, present the findings from the property review, write up the minutes and post them onto the website.
Works Specification (£40 per hour)
Urban Owners will undertake a preliminary analysis of the proposed scope of works, write a specification of the works (to be passed on to contractors in order to obtain their quotes), review the specification with the Residents' Management Company / homeowners as necessary, collate feedback and subsequently refine the specification as appropriate.
Management of Works (10% of cost of works)
Urban Owners will arrange for quotes to be submitted, assist the Residents' Management Company in selecting the best contractor, manage the submission of any regulatory notices associated with the works, liaise with contractors and the Residents' Management Company on issues / decisions, and review work to ensure the appropriate level of completion.
Issue Resolution (£30 per hour)
Every so often issues will arise either between homeowners and their contractors or between the homeowners themselves which cannot be resolved without third party intervention. Upon request, Urban Owners will act as an intermediary in these circumstances, in order to get resolution between the disputing parties.
Block Condition Survey Report (£300-£500)
Urban Owners will utilise a qualified surveyor / inspector to conduct a thorough survey of your block. This includes: a review of all areas requiring attention in the short to medium term, notification of construction points and issues that may need to be addressed, an estimation of the likely remedy costs and reading of any utility meters
Periodic Block Inspection Report (£120 per inspection)
Urban Owners will utilise a qualified surveyor / inspector to carry out a periodic inspection of your block, focussing specifically on any changes or deterioration to the block subsequent from the Block Condition Inspection Report.
